Privacy policy

1. Approach

DS4 processes personal data in accordance with the GDPR and other applicable law.

2. Data collected

Organisation, name, email address and message submitted through the contact form.

3. Purpose

To respond to enquiries and follow up on the matter raised.

4. Retention

The web application does not store contact submissions. Enquiries are delivered through Microsoft 365 to contact@ds-4.eu and managed in a dedicated folder. We retain enquiry emails and replies for 90 days from their respective receipt or sending dates. Each working day, we check and remove messages older than 90 days from active mail folders and Deleted Items. Under our current Microsoft 365 settings, deleted messages may remain in recovery storage for 14 days. Applicable retention obligations and Microsoft processing may affect the timing of final erasure.

5. Your rights

Access, rectification, erasure, restriction and objection; you may also lodge a complaint with a supervisory authority.

6. Cookies

We use session cookies necessary for the secure operation of the contact form. When analytics is enabled, we request consent for optional analytics and do not start it before consent or after rejection. We do not use advertising cookies.

Google Analytics and consent

Only with your consent, Google Analytics 4 measures page visits and device/browser usage statistics. Network information, such as your connection IP address, is transmitted to Google. We exclude contact pages, form input and URL queries and fragments from measurement. Your choice is stored in your browser for 180 days. Analytics cookies (_ga and cookies beginning with _ga_) are configured with a 180-day lifetime. Advertising features are not used. You can withdraw consent at any time through Cookie settings at the bottom of the page and continue using the site.

Analytics processing is based on your consent (GDPR Article 6(1)(a)). Withdrawal does not affect the lawfulness of processing based on consent before withdrawal. Google Analytics event and user data retention is set to two months, with reset on new activity disabled. This period does not apply to standard aggregated reports.

Data may be processed by Google and its subprocessors outside the EEA, including in the United States. Google uses mechanisms such as the EU–US Data Privacy Framework and Standard Contractual Clauses for applicable transfers. The processing terms and transfer information are linked below.
